Real estate agencies: turning browsers into booked viewings with AI

Property buyers browse at night and decide slowly. An AI assistant matches them to your current listings, asks the questions your agents would ask, and hands over a qualified lead — not a bare phone number.

A real estate agency’s website has an odd problem. Traffic is high, intent is real — nobody browses flats for fun for long — but very few visitors ever pick up the phone. They look at photos at 23:00, bookmark two listings, and disappear. Your agents spend their mornings on the few who did call, and know nothing about the many who didn’t.

An AI assistant doesn’t replace the agent. It does the first ten minutes of the agent’s job, at any hour, for every visitor who is willing to talk.

The first ten minutes of every enquiry

Whatever the property, a good agent opens with the same questions: buying or renting? Which area? How many rooms? What budget? Cash or mortgage? When would you like to move? Only then does it make sense to suggest a listing or arrange a viewing.

The assistant asks these naturally, one at a time, in the visitor’s own words — “something with a balcony near the river, under 90 million” is a perfectly good answer. It then matches against your current listings and shows them as cards with photo, size and price.

Only real, current listings

Nothing damages trust faster than recommending a flat that sold last month. The assistant works from your listing data — price, size, rooms, floor, heating, status — so a sold property is presented as sold (and alternatives offered), and a price is never “remembered” from an old version of the page.

If a buyer asks something the listing doesn’t say — the exact service charge, whether the neighbours are quiet — it says it doesn’t have that information and offers to have an agent answer.

A lead your agent can act on

When the visitor is ready — “can I see it this week?” — the assistant asks for name, phone number and convenient times, and passes the request to your team. What arrives is not “someone wrote something”, but a name, a phone number and a note of what the buyer wants — area, budget, financing, the listing they want to see and when they are free — with the full conversation one click away.

That context changes the callback. Instead of “how can I help you?”, your agent opens with “I have the downtown flat for you on Thursday at four — and I can connect you with our mortgage partner.”

Sellers are leads, too

Not every visitor wants to buy. Many want to know what their own home is worth. If you offer a free valuation, the assistant can explain how it works and collect the address, property type and contact details — a seller lead that might otherwise never have reached you.

It remembers the buyer

Property decisions take weeks. A visitor who returns three days later doesn’t want to repeat their criteria. The assistant remembers the earlier conversation in the same browser and carries on where it left off: “Welcome back — are you still looking for two rooms downtown?”

Several languages, one portfolio

Expats, investors and holiday-home buyers often search in English or German. The assistant answers in the visitor’s language from the same listing data, so a German buyer looking at a Lake Balaton house gets the same facts — and the same path to a viewing — as a local one.

What to measure

  1. Viewing requests and valuation requests generated by the assistant.

  2. The criteria people ask for most — area, size, budget — compared with what you have listed.

  3. Questions your listings can’t answer: each is a detail worth adding to the advert.

  4. Time from lead to first call. Arriving with context should make this shorter.
